In principle the main purpose of the job is to maintain and develop a comprehensive effective and efficient administration service within the Coroner's Office What is the role?
• Provide efficient secretarial and administrative support to the Senior Coroner, Deputy Coroners and Coroners Officers within the Coroners Service. • Maintain both electronic and paper records recording death information, liaising with the bereaved, the medical profession, undertakers, police and Coroner's officers. • Be aware of current relevant policy, systems and procedures in delivery of your role within the team and ensure effective compliance with best practice, protocol and local procedures. • Due to the sensitivities surrounding enquiries the job holder must be able to provide timely and accurate information in response to enquiries. They must respond to enquiries with accuracy and promptness and maintain this awareness at all times especially when under pressure.. • Carry out all necessary word processing / IT duties and deal with correspondence with the minimum of supervision. • Undertake the preparation of paperwork for court summons. • Payment and administration of expenses for Witnesses / Jurors / Coroner. • Maintain files and documentation including confidential information and archiving of inquest and non-inquest information. • Finance processes around invoices (reconciliation and payment) with regard to services done at the request of the coroner. • Support all other staff pro-actively, identifying issues that need to be prioritised.
Who is the person?
You need to have:
1. Have an extensive administrative background. 2. Ideally the person will have experience and be comfortable with working in an environment where the role requires an awareness of the handling of confidential and sensitive information. 3. Have excellent telephone and in person communication skills. The person should also be confident in dealing with the general public with due sensitivity. 4. Be able to work well under pressure and work with a number of Senior staff. 5. Be a highly organised and methodical person, and able to prioritise your workload to meet conflicting demands and deadlines. 6. Be proactive in the way you work and able to use your initiative. 7. Be confident using IT systems to undertake the admin tasks of the role. 8. Be able to work as an effective member of the team and be flexible to be able to adapt to the needs of the service. 9. Be able to maintain a positive and professional attitude. 10. Have a good working understanding of client confidentiality, data protection and information governance. 11. Have good literacy and listening skills.
